Full-Time Administrative Assistant

We are seeking a highly organized and proactive Administrative Assistant to support our growing, fast-paced team. This full-time salaried role is essential to our day-to-day operations, ensuring everything runs smoothly behind the scenes. From managing schedules and coordinating travel to assisting with client communications and planning events, this role is ideal for someone who thrives in a dynamic environment and enjoys supporting others.
Key Responsibilities:

  • Manage the calendar, schedule client meetings, and provide ongoing administrative support

  • Book travel arrangements and handle a variety of personal tasks

  • Coordinate events and oversee general office operations

  • Draft and manage correspondence, including letters, thank-you notes, and client communications

  • Maintain and organize client files (digital and physical), including scanning and document prep

  • Handle all incoming and outgoing mail for clients and team members

  • Support team functionality by managing business systems and project coordination

  • Plan and execute team meetings and assist with internal communications

  • Track continuing education and licensing requirements 

  • Assist with bulk email communications to enhance the client experience

  • Take on additional responsibilities as needed to support the team
Qualifications:

  • Minimum of 3 years of relevant administrative experience

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); willingness to learn new platforms

  • Highly organized, detail-oriented, flexible, and able to manage multiple priorities

  • Strong written and verbal communication skills

  • Must be authorized to work in the United States
